Privacy Policy

Last Updated: 01/06/2025

Welcome to All California Accountancy (“we,” “our,” or “us”). We are a California-based CPA firm dedicated to protecting the privacy and confidentiality of all client information in accordance with California law, the AICPA Code of Professional Conduct, and the Gramm-Leach-Bliley Act (GLBA). By using our website or engaging our professional services, you consent to the collection and use of information as described below.

1. Information We Collect

To provide accounting, tax, payroll, and consulting services, we may collect:

- Personal Identifying Information: Name, address, email, phone number, date of birth, and identification numbers.

- Financial Information: Tax filings, W-2s, 1099s, financial statements, payroll data, and other client-provided documentation.

- Business Information: Entity type, EIN, ownership structure, and financial or tax details related to the business.

- Electronic Data: When using our website or secure client portal, we may collect your IP address, browser type, device information, and usage statistics.

- Cookies: We may use cookies to enhance site functionality and analyze website traffic; you can disable cookies in your browser.

2. How We Use the Information

We use your information to:

- Deliver accounting, tax, and consulting services requested by you.

- Prepare filings, reports, and analyses.

- Manage billing, payments, and internal records.

- Maintain compliance with federal and state regulations.

- Communicate with you regarding updates, deliverables, and educational materials.

- Improve our services and client experience.

3. Confidential Client Information (CPA Professional Standards)

As a licensed CPA firm, we adhere to the AICPA and California Board of Accountancy confidentiality rules. Any client information obtained during the course of an engagement is kept strictly confidential and may not be disclosed without your permission, except as required by law or professional standards.

4. Information Sharing

We may share your information only in these circumstances:

- With your consent — when you authorize us to share information with banks, attorneys, or other professionals.

- With service providers — trusted third-party vendors assisting us in secure data storage, communications, or tax software systems, all bound by confidentiality agreements.

- As required by law — such as reporting obligations under IRS, FTB, or other government authorities.

- Professional Oversight — with the California Board of Accountancy or the AICPA during compliance reviews.

We never sell, trade, or rent client information to any third party.

5. Data Security

We use secure, encrypted systems for data transmission and storage. Client portals and tax software utilize multi-factor authentication. Electronic files are encrypted using SSL/TLS protocols, and physical records are stored in locked facilities accessible only to authorized staff. Despite these safeguards, no system is 100% secure.

6. Electronic Communication & Client Portal

We offer secure client portals for document exchange. While we take all precautions to protect data, email communication inherently carries risk. If you prefer, you may request encrypted email or physical delivery options. By submitting information electronically, you consent to electronic communication under the E-Sign Act.

7. Data Retention

We retain client records for a minimum of seven (7) years after the engagement, or longer if required by law or professional standards. After the retention period, records are securely destroyed.

8. Your Rights Under California Law (CCPA & GLBA)

If you are a California resident, you have the right to:

- Request disclosure of categories and specific pieces of personal information collected about you.

- Request deletion of personal information, except where retention is required by law or professional ethics.

- Opt out of the sale of personal information (we do not sell personal data).

- Receive equal service and pricing, regardless of whether you exercise your rights.

To exercise your rights, contact us at privacy@allcalaccountancy.com or by mail at our California office.

9. Children’s Privacy

Our website and services are not directed to individuals under 13. We do not knowingly collect or store personal information from minors.

10. Changes to This Policy

We may update this Privacy Policy periodically. Updates will be posted with a new “Last Updated” date. Your continued use of our site or services constitutes acceptance of these changes.
